Start with the workflow, not the apps

Before you open Podio, map out what actually happens in your team — who does what, in what order, and what information each step needs. Build your workspace to mirror that process, not to showcase every Podio feature.

Keep app structures flat

One of the most common mistakes is over-engineering the relationship structure. Start with the minimum number of apps and relationships that actually support your workflow. You can always add complexity later — removing it is much harder.

Design the views your team will actually use

A Podio workspace that nobody looks at is just a database. Build the filtered views, list views, and summary views that match how your team checks in on work — not how you think they should check in.

Automate the repetitive parts early
